The useful archive is the one that answers a later question
Saving an article is easy; finding why it mattered six months later is harder. A useful note preserves the source, the relevant idea and the reason it was saved. Without those details, AI retrieval may surface a polished summary that gives little indication of whether the underlying material is current, trustworthy or applicable.
Begin with a question the archive should help answer: why a team selected a process, what a writer learned about a topic or how a support procedure works. This gives collection a purpose. A growing number of saved links is not automatically a growing body of useful knowledge.
Give every saved item a small context envelope
Keep the title, source address, date and a brief personal or project note. Distinguish an author's claim from the reader's interpretation. If an item contains a quotation, preserve its boundaries. If it reflects a temporary policy, label the relevant period rather than letting it become timeless advice.
MyMemo's current product page describes collecting links, screenshots, videos and documents, with summaries, questions over saved content and collection-scoped chat. A scoped collection can be useful for keeping one project separate from another. Evaluate what the system actually ingests from each format and whether the original remains accessible.
For example, a screenshot may preserve an image of a table without its surrounding methodology. A video summary may omit a speaker's qualification. Attach a note about the missing context rather than treating every imported item as an equally complete source.
Three kinds of knowledge need different treatment
- Reference material
- External articles, books and documentation. Preserve attribution and a route back to the source.
- Working thought
- Drafts, questions and tentative connections. Keep them distinguishable from approved conclusions.
- Operational knowledge
- Instructions the team is expected to follow. Assign an owner, review date and clear approval status.
These categories can live in the same workspace, but a search answer should not silently elevate a brainstorm into policy. Naming, tagging and permissions remain useful even when an AI assistant can search natural language. They help people understand why an answer appeared and whether it should guide an action.
Connect ideas without losing their provenance
Kortex's official overview describes connected documents, captures and highlights, with material available while writing. Its Kortex-to-Eden transition notice distinguishes the existing Kortex workspace from the newer product; verify migration, current access and billing terms before subscribing. For connected writing, evaluate whether a writer can inspect the supporting idea while developing their own reasoning.
Try a task that crosses several notes: explain where two authors agree, where they differ and which source supports each conclusion. A useful result should retain those distinctions. A fluent blended paragraph can conceal a disagreement or attach one source's evidence to another source's claim.
When asking an archive a question, specify a project, time period or collection if available. Request source links and read the underlying passage before relying on an important statement. A search result is an entry point into the archive, not proof that the archive contains a complete account of the topic.
Turn a procedure into something another person can use
Guidde's current documentation platform captures workflows and develops video guidance with scripts, voiceover, captions and sharing. This addresses a different knowledge problem from saving articles: transferring a repeatable process to another person. The reviewer must check whether the demonstrated steps still match the current software and account permissions.
Remove confidential information from demonstrations, state the starting conditions and explain what a successful outcome looks like. Assign responsibility for updates when the interface changes. A searchable library of outdated procedures can be more confusing than a smaller set of maintained instructions.
Plan for movement, permissions and deletion
Check exports before importing an entire collection. Determine whether notes, attachments, source links, tags and connections can be moved in a usable form. A text export that loses the relationship between an excerpt and its source may preserve words while discarding much of the archive's value.
For a team, inspect who can contribute, edit approved pages and query private material. Review default sharing links and what happens when someone leaves. Keep sensitive client or personnel information out of a general collection unless its permissions and data handling are appropriate.
Knowledge workspace FAQs
Is AI search enough to replace organisation?
No. Clear project boundaries, owners and dates help the system and readers distinguish relevant information from outdated or unrelated material.
Should every saved item become a summary?
Only when a summary helps retrieval or understanding. Preserve the original for detail, context and verification.
Can connected notes prove a new idea?
A connection can suggest a useful line of thought. The claim still needs reasoning and appropriate evidence from its underlying sources.
How should a trial be evaluated?
Import a small mixed collection, answer a question across it and export the result. Check whether sources, scope and ownership remain understandable throughout.
